Meeting Minutes – October 3, 2016,
The Club at Prescott Lakes – Falls Room
The Meeting was called to order by acting President Jean Bowman at 5:00 p.m. with 49 members attending.
Welcome: Jean Bowman thanked those in attendance for coming.
Election of Board members: Jean Bowman asked that the candidates for office stand and be recognized. Running for office were:
President: Ben Scianna (1-year term unexpired term)
Vice President: Peter Grant (2-year term)
Secretary: Genanne Davis (2-year term)
Treasurer: Janet Lorenz and Ron Scott (1 year unexpired term)
Member-at-large: Jerry Silver and Jim Slack (2 year term)
Voting took place by secret ballot. Election Committee Chair, Wanda Hughs, and two members, Sandy McCabe and Mitch Greer, counted the ballots.
Senior Games: General Manager, Greg Paydock, reported on the Senior Games of August 19 – 21, 2016. He reported the tournament went great. He particularly complimented the volunteers and Gary Swenson for their work. He said the new sound system did very well at the top of the hill as did PickleballTournaments, LLC in running the tournament. Vendors did a great job. He stated the level of play was amazing. Looking ahead to next year, he said there were too many unfinished bottles of water tossed at the end each day. There may be Gatorade available next year. Long range, there may be more pickleball courts added.
Jay Davis, speaking for Co-Chair, Jim Robak, reported 2016 was the fourth year we have had the tournament and it has grown every year. This year we had 241 players. Next year we look to be at capacity. The Club at Prescott Lakes was involved to a much larger extent this year and PickballTournaments, LLC was hired to run the tournaments. Referees did well with the use of outside volunteer referees.
Joe Nelson, Co-Chair of the Senior Games offered some interesting statistics. There were 41 volunteers from the Prescott Lakes Pickleball Club. Seven states were represented with Pennsylvania being the farthest away. Players from 32 Arizona cities played in the tournament, with 41 players from Prescott and 24 from The Club at Prescott Lakes. The oldest male player was William Schroeder at 87; the oldest woman player was Virginia Troester at 79.
Bylaws Revisions: Member at Large, Roger Breding, outlined the proposed revisions to the bylaws. A vote was taken to accept the revisions. The vote to accept the Bylaws was unanimous and the revised Bylaws take effect immediately.
Membership Report / Check in Data: Secretary Genanne Davis reported membership has reached 157. She urged members to sign in at the front desk so that usage of the pickleball courts can be tracked accurately. Future capital expense allocations throughout the entire club may be based in part on those numbers.
Financial Update: Member at Large, Jessie Reed, reported a 1/22/16 starting cash balance of $2,753. Income thru 8/31 (dues, fees, etc.) was $1,708, for a total income of $4,461. The cash balance on 8/31/16 was $2,342 and the forecasted year-end balance is around $1,550, not considering 2017 dues that may be collected this calendar year. In order to maintain a similar level of Pickleball Club activities in 2017 and a reasonable account balance at year end, 2017 Dues will increase to $15/person.
Committee Openings: Jean Bowman described a new committee, Round Robin Committee, of which she will be Chair. The committee will schedule Round Robins, collect sign-up sheets, run tournaments, and record scores. She requested volunteers for the committee.
Miscellaneous Business: Jean Bowman asked with a show of hands of those interested in ordering T-shirts. The response was great enough that another T-shirt order will be taken. Likewise, another Name Tag order will be sent soon. Genanne Davis requested those interested to sign up.

Questions and Comments: The floor was open to questions and comments. John Goesling spoke about the distribution of profits by The Club at Prescott Lakes. Jean Bowman reported the Board of Directors is working on a list for Capital Improvements to be presented to the Athletic and Fitness Committee. That committee makes recommendations to The Club at Prescott Lakes Board of Governors, which then makes recommendations to the Major Decisions Committee.
