Meeting Minutes – September 23, 2017
The Club at Prescott Lakes – Falls Room
The Meeting was called to order by President Ben Scianna at 11:00 a.m. with 61 members attending.
Welcome: Ben Scianna thanked those in attendance for coming. He then introduced the current Board of Directors, and read the names of the Committee Chairs for 2018. A thank you went out to Sandy McCabe, who is retiring from her post as Instruction Committee Chair, for the outstanding work she did this year.
Election of Board members: Ben Scianna read the names of the candidates for office. Statements were given by or for each candidate. Running for office were:
President: Jim Robak (2-year term)
Member-at-large: 2 openings (2 year term)
Membership and Marketing: Secretary Genanne Davis reported we expect our current membership of 200 to increase after lessons which are scheduled next week. She explained that membership applications now include a place to order name tags. Current members who want to order additional name tags may use the form for that purpose. She also displayed a copy of a certificate being given by Dorn Homes and realtor Don Partch and explained anyone coming to the courts with one is to be considered a member of the Prescott Lakes Pickleball Club.
The data collected at the Front Desk through August 31, 2017, was displayed. It shows Pickleball ranking #7 is usage, down from #6 in the spring. Genanne encouraged everyone to check in at the desk when they use the courts. She also encouraged members to check the web site, weekly newsletter from The Club at Prescott Lakes, notices on the bulletin board in the Athletic Center and the courts, as well as their emails to stay up to date on events and information.
Budget Report: Ron Scott reported projected funds available of $5,510, projected expenses of $3,700, leaving a projected ending balance of $1,810 for the year 2017. A question from the floor regarding the difference between budgeted and actual Miscellaneous Expense was explained as a way to account for Name Tag and T-Shirt funds collected and paid, neither of which was in the 2017 budget, but which was an asterisk item in the budget.
Ratings Committee: Joe Nelson described how the committee started and where we are now. Currently 113 members have self-rated. This is the first year the Prescott Lakes Pickleball Club has tried ratings. Questions about changing one’s rating were asked and answered. The process will be refined as time goes on.
Round Robins Committee: Roger Breding explained the Skill Level Round Robins ran from April through October this year. Typically four round robins a month are held—one for each skill level (2.0/2.5, 3.0, 3.5, 4.0+). Chair Jean Bowman explained that next year they would like to have teams of members assigned to run each skill level, resulting in a team having to run one round robin a month. She asked for those interested to see her. In answer to a question from the floor, Roger Breding explained a member can assess his/her own skill level by referring to the web site or asking a Committee Member. He encouraged everyone to give it a try.
Social Tournaments: Roger Breding explained the four social tournaments planned this year were for the purpose of having fun. Each had a different format with players of differing abilities playing together to encourage camaraderie. The Winter Top Hat and Dink Fest were hits. The Don’t Drop the Ball format will be dropped. The final tournament is a Sunset Champagne Pickleball Poker tournament scheduled for October 7.
2017 Club Championship: Roger Breding described the purpose of the Club Championship is to acknowledge the best of the best. This year’s tournament was held June 23-25, with events in Men’s Singles, Women’s Singles, Men’s Doubles, Women’s Doubles and Mixed Doubles. The names of winners in each event have their names displayed on the Pickleball Club Permanent Plaque in the Athletic Center.
2017 Member Skill Level Tournament: Jay Davis and Joe Nelson reported that in response to membership requests, a practice skill-level tournament is scheduled for September 29, September 30, and October 1. At this time it appears it may have to be cancelled due to lack of participation. Jay Davis said the Tournament Committee will review the information they have and try to reschedule in June, 2018.
Prescott Lakes Senior Pickleball Tournament: Jay Davis reported the Senior Tournament, held August 18, 19, and 20, continued and enhanced our reputation as one of the best pickleball tournaments around. It is a great way to support and provide exposure for The Club at Prescott Lakes. Discussions are being held regarding the format for the 2018 games. Joe Nelson added his congratulations for a job well done. With the help of 55 volunteers, the tournament attracted people from 27 Arizona cities, four states and Australia. Prescott Lakes Pickleball Club members garnered 8 medals. We had a videographer, MOFIA Pickleball, who recorded every match and made copies available to individuals. We also had quality vendors on site during the tournament.
Social Committee: Sue Haywood outlined the purpose of social events is to encourage camaraderie among Pickleball Club members. Four events this year included an evening at Prescott Brewery, an evening at Party on the Terrace at the Club, an afternoon picnic at Thumb Butte, and an afternoon at Granite Creek Vineyards. Club members and their guests are welcome at all social events.
Other Items: Jim Slack addressed two new items the Pickleball Club Board introduced this year. The first, Waiver of Liability Form, is designed to protect the Prescott Lakes Pickleball Club and those who volunteer to do instruction. The second, Emergency Contact Information, is an item the Board encourages all members to have readily available in case of a mishap on the courts or off. It would help in making contact with appropriate person(s) in any case of emergency.
Court Etiquette: Peter Grant did a quick review of the rules for Open Play, Level-Based Play and Social Play, asking everyone to observe the guidelines for the benefit of everyone using the courts.

Questions and Comments: The floor was open to questions and comments. Bill Meardy, a member of both the Pickleball Club and the Tennis Club, spoke about a letter he received from the Tennis Club. He opined that Pickleball needs more courts and asked what the Board is doing about getting more courts. Jay Davis responded that Roger Wolfe made a presentation on behalf of the Pickleball Club Board before the September meeting of Athletic and Fitness Committee about how fast pickleball has expanded and that data supports that more courts are needed. The proposal was to repurpose one court from tennis to pickleball. Discussion will be continued at the next Athletic and Fitness Committee meeting.
Bob Sisley, member of the HOA Board of Directors and Major Decisions Committee explained the process. The Athletic and Fitness Committee meet and may make a recommendation to the Board of Governors of The Club at Prescott Lakes. The Board of Governors then may make a recommendation to the Major Decisions Committee, comprised of two Prescott Lakes representatives and two members from Arnold Palmer Century Golf, the management company. The Major Decisions Committee makes the final decision.
